Automation support and handover
Compare who handles failures, credentials, upstream changes and handover after workflow launch.
Author:WeTech technical team · Updated: (Hong Kong time (GMT+8))
An automation support agreement should identify workflows, business owners, incident handling, credentials and upstream-version responsibilities. Separate acknowledgement, restoration targets, coverage hours and feature changes. Retain organisational account ownership and exportable configurations so recovery does not depend on one person’s memory.
When to use this guide
For businesses with multiple automations, a supplier handover or competing maintenance proposals.
Support responsibility checklist
| Scope | Buyer confirms | Supplier specifies |
|---|---|---|
| Workflows | Criticality, volume and fallback | Monitoring and incident scope |
| Accounts | Ownership and offboarding | Credential rotation and least privilege |
| Changes | What counts as a new feature | Fix, upgrade and addition boundaries |
| Handover | Owner and exit arrangements | Configuration, runbook, recovery rehearsal |
Maintain a workflow register
Record triggers, sources, destinations, accounts, schedules, last success and manual alternatives. For critical workflows, explain how business continues when automation stops. Reference controlled credential storage and its owner rather than placing passwords in the register.
Distinguish response from restoration
Agree coverage hours, severity levels, contact channels and escalation. An upstream outage may not be repairable immediately, but status updates, fallback and recovery checks still need owners. Specific service targets must be contracted; this guide does not promise a universal SLA.
Prepare a usable handover
Accept configuration exports, dependencies, version history, tests and incident runbooks. Have the receiving team perform a controlled recovery exercise. Coordinate access removal and schedules so a handover does not leave both suppliers running the same workflow.
Illustrative scenario
Hypothetical handover: move a scheduled report from an employee account to an organisation-controlled account, verify credentials, schedule and alerts, then have the receiving owner run it. This is a planning example.
Frequently asked questions
Does the platform subscription include maintenance?
Platform access and maintenance of the business workflow are different scopes.
Do we need round-the-clock support?
Decide by business impact, fallback and budget; automation does not imply that coverage.
Does changing supplier require a rebuild?
It depends on accounts, exportability, licences and documentation; assess before handover.
