API integration costs
Compare API proposals using authentication, field mapping, sync direction, recovery and maintenance scope.
Author:WeTech technical team · Updated: (Hong Kong time (GMT+8))
Estimate integration by systems, read/write actions, data rules, authentication, timing and recovery. A working connection is only the start. Include test access, reconciliation, cutover and upstream version changes. Estimates made before API access should state their assumptions.
When to use this guide
For buyers connecting CRM, accounting, orders or websites and comparing setup with ongoing support.
Integration quotation checklist
| Work package | Drivers | Evidence requested |
|---|---|---|
| Connection | Authentication, documentation, test accounts | Scopes and endpoint inventory |
| Data rules | Fields, codes, master data, direction | Mapping and conflict rules |
| Reliability | Rate limits, retries, duplicate requests | Failure tests and reconciliation |
| Launch and maintenance | Cutover, monitoring, version changes | Handover, support and change scope |
Check feasibility before comparing price
Confirm whether the API is public, plan-dependent or vendor-enabled. Obtain test access and document rate, export and write limits. Published documentation does not establish that the buyer’s current subscription includes access; keep unconfirmed licence charges separate.
Price failure handling explicitly
Specify retryable failures, exception queues, reconciliation owners and escalation. Bidirectional synchronisation needs authority rules to prevent overwrites. Recovery must address missed and duplicate updates rather than blindly resending everything after a connection returns.
Compare common transaction scenarios
Ask suppliers to address the same normal, cancelled, corrected, duplicated and disconnected transaction cases. Build an estimate from work packages and agreed rates, listing external charges separately. This guide does not state a fixed market price for connecting an API.
Illustrative scenario
Hypothetical example: a website sends draft orders one way to accounting for staff confirmation. Test changes, cancellations, currency and tax-field mappings as well as one successful creation. These are planning conditions, not a delivered case.
Frequently asked questions
Does an API make integration easy?
No. Access, data rules, limits and recovery still require validation.
Is two-way synchronisation always better?
Choose by business need; two-way sync adds conflict and reconciliation responsibilities.
Are API version changes included?
Specify compatibility fixes, major upgrades and third-party charges in the support agreement.
