Excel and Google Sheets workflow automation: a practical checklist

Standardise fields, identifiers, owners and approval rules before connecting spreadsheets to forms, reports and business systems.

Author:WeTech technical team · Updated: (Hong Kong time (GMT+8))

Stabilise the data structure and ownership before automating triggers, validation, updates and error notifications. Spreadsheets can suit predictable rules and bounded workloads. Evaluate a database or dedicated system when concurrent editing, fine-grained permissions or transactional consistency become critical. Check account-specific quotas when using tools such as Google Apps Script.

When to use this guide

For operations teams repeatedly preparing Excel files, Google Sheets, form responses, recurring reports or order lists.

Start with one verifiable workflow

Map input, validation, approval and output. In an illustrative enquiry workflow, validate required fields and a duplicate identifier before adding a pending follow-up row and notifying its owner. Do not treat the enquiry as an approved order. Separate input records from calculations and outputs so staff do not accidentally overwrite formulas. Record what counts as a complete result before connecting another system.

Estimate usage and failure handling

Estimate normal and peak records, reads and writes per record, external calls, notifications and runtime. Apps Script has quotas that can stop execution, so validate the proposed workflow against the actual account. Use checkpoints, exception queues and notifications. A rerun should detect completed records rather than creating duplicates after a partial failure. Include ownership when the original automation author is unavailable.

Recognise when to move beyond spreadsheets

Reassess the platform when edits are hard to trace, permissions are too broad, records have many dependencies or payment and inventory updates require consistency. Compare databases, SaaS and custom software against the actual need. Keep stable identifiers, a field dictionary and an export route to support future migration. Acceptance should include invalid data, concurrent edits, reruns and revoked access.

Frequently asked questions

Can Excel and Sheets work together?

Assess imports, exports or connectors. Verify formulas, dates, encoding and permissions with samples rather than assuming full compatibility.

Can automation run without supervision?

Assign an owner, error alerts, usage monitoring and a recovery method.

Should we code first or fix the sheet?

Stabilise fields, identifiers, data rules and the workflow before selecting the implementation tool.
