CRM, accounting and order integration: mapping and acceptance checklist
Assign authoritative systems for customers, orders, invoices and payments before automating synchronisation, reconciliation and exception handling.

Start CRM and accounting integration with data ownership, not unrestricted two-way synchronisation. Assign master systems and identifiers for customers, orders, invoices and payments. Agree field mapping, states, currencies and tax settings, then design duplicate prevention, retries, reconciliation and manual exceptions. Connectivity depends on the actual products, subscription plans and APIs.
When to use this guide
For businesses where sales, operations and finance re-enter the same data or repeatedly reconcile inconsistent states.
Example data ownership map
| Record | Question to settle | Acceptance scenario |
|---|---|---|
| Customer | Which system creates and edits the master? | Same names, renamed and duplicate customers |
| Order | Who controls approval and cancellation? | Cancellation, partial fulfilment and replayed events |
| Invoice | When is it created and how are errors corrected? | Retries must not create duplicate invoices |
| Payment | Which source confirms settlement? | Partial payments, refunds and unmatched records |
Map fields and states first
Document field formats, required values, identifiers, time zones, currencies and editing roles. Identical labels can carry different meanings: sales “completed” may not mean finance “paid”. Estimate historic migration separately from ongoing synchronisation. Have the responsible finance owner confirm accounting rules. Before implementation, obtain sample exports and API documentation for the exact systems and plans in use.
Make retries safe and exceptions visible
Keep a source event identifier and processing state, and check whether the operation already completed before replaying it. Retry temporary failures under a defined policy; send invalid fields or business-rule errors to an owned exception queue. Prevent updates from triggering an endless loop between systems. Reconcile counts, amounts and unmatched records rather than relying on a green workflow status.
Launch within a controlled boundary
For an illustrative rollout, send approved orders to accounting as drafts for finance review before posting. Test permissions, cancellation, refunds and replay in a non-production environment, then enable a defined customer group or workflow. Keep a way to pause synchronisation and reconcile manually. Assign ownership for API changes and credential expiry; connector availability alone does not prove the entire workflow is supported.
Frequently asked questions
Is two-way sync always best?
It depends on field ownership. Prefer one direction where sufficient; two-way updates need conflict rules and editing permissions.
Can systems without APIs be integrated?
Assess controlled import/export or other options, with separate checks for formats, timing, permissions, errors and product terms.
Does a successful sync establish correct records?
No. Reconcile fields, states, amounts and duplicates, and retain evidence.
