Measuring marketing automation: qualified enquiries, conversion and cost
Separate visits, successful submissions, valid enquiries, opportunities and sales. Compare performance with consistent periods, sources and definitions.
Author:WeTech technical team · Updated: (Hong Kong time (GMT+8))
Measure business outcomes rather than message volume, clicks or submissions alone. Define valid enquiries and opportunities, connect events to CRM and compare valid-enquiry rate, cost per valid enquiry, follow-up time and later outcomes. Track rankings, AI citations, website conversions and sales separately. Improvement in one does not establish improvement in the others.
When to use this guide
For teams with forms, CRM or automated follow-up that need to distinguish enquiry quality, channel cost and actual opportunities.
Metric definitions and denominators
| Metric | Calculation | Check the limitation |
|---|---|---|
| Valid-enquiry rate | Valid enquiries / deduplicated submissions | Use consistent validity and exclusion rules |
| Cost per valid enquiry | Relevant channel cost / valid enquiries | Align channel, period and included costs |
| Opportunity conversion | Confirmed opportunities / valid enquiries | Allow follow-up time and retain CRM states |
| First meaningful response time | Receipt to first substantive response | Separate acknowledgements and state business-hour rules |
Check what success events mean
A submit-button click, a server-accepted enquiry and a created CRM record are different events. Tie success events to a confirmed outcome and avoid double-counting retries. Test empty fields, validation errors, network interruption and repeated submissions. Use one analytics transport for each event, and exclude names, email addresses and full message text. Reconcile event counts with operational records before interpreting the funnel.
Build comparable before and after periods
Record release time, affected pages, channels, services and concurrent changes. Compare periods using the same definitions, accounting for campaigns, holidays, ad budgets and the time needed for sales follow-up. Keep raw counts and uncertainty when samples are small. If a denominator is zero, mark the ratio unavailable rather than presenting zero cost or a misleading conversion rate.
Separate ROI from AI citation visibility
For ROI, agree whether the benefit uses revenue or gross profit, which portion is attributable and which setup and ongoing costs are included. Without attributable results, report costs and process measures. Evaluate AI citations with fixed questions, platform, date, actual cited URLs and factual accuracy. Keep refusals and loading failures distinct from completed answers without citations. A citation alone does not establish a lead or sale.
Frequently asked questions
Are more submissions sufficient evidence of success?
Review duplicates, spam, service relevance and later opportunities alongside submission volume.
Does an Analytics key event mean a sale?
A key event marks an event the business considers important. Its meaning depends on configuration; confirm sales against transaction or CRM records.
How soon can improvement be established?
It depends on volume, sales cycle and concurrent changes. Validate measurement first, then compare adequate periods and samples without presuming a guaranteed result.
