Enterprise AI chatbot buying guide

Define permitted actions, customer-data access and human handoff before buying an AI support chatbot.

Author:WeTech technical team · Updated: (Hong Kong time (GMT+8))

Separate draft assistance, public knowledge answers, account lookup and transactional actions. Each requires different permissions and acceptance tests. Define human handoff for missing evidence, complaints, refunds and sensitive decisions. Automated reply rate alone is not a sufficient success measure.

When to use this guide

For support teams reducing repetitive enquiries while retaining accountable supervision of answer quality.

Separate information from actions

Reading a policy does not grant access to every order or permission to change one. List tools, readable fields, writable actions and approvers. Test ordinary, unauthorised and revoked users rather than only an administrator account.

Make handoff operational

Pass the issue summary, supporting sources, completed actions and failure reason to staff. Define queue ownership and out-of-hours handling. If a tool fails, offer a reliable contact route and do not claim a case was created unless that action succeeded.

Measure resolution and review effort

Track supported answers, successful handoffs, repeat enquiries, incorrect actions and review time separately. Include rare questions, obsolete policies, prompt injection and multilingual cases. Describe functionality separately from results; do not promise staffing reductions before measurement.

Illustrative scenario

Hypothetical scenario: a service company pilots draft maintenance replies using approved manuals. Refunds and customer contracts go to staff. Acceptance checks missed handoffs and obsolete manual references, rather than counting generated replies alone.

Frequently asked questions

Must the bot access customer records?

No. Public knowledge answers can be piloted before account integration.

Is human handoff a failure?

For insufficient evidence or sensitive decisions, correct handoff is an acceptance requirement.

Can it issue refunds automatically?

Define authorisation, confirmation, limits and recovery first; retain staff approval initially.

Brand and public case scope

Their cases support the observable features listed: property, estate and transaction-reference entry points for WeProperty; submission, review and public-data masking for WeCredit. WeCredit is not a TU credit-rating service or a final determination of facts.
